End-of-day field closeout for a grading or utility crew: (1) complete and submit the daily report from the field before leaving; (2) review the day’s grade check log for any failing shots needing follow-up; (3) secure all instruments in cases, not left on site; (4) take a closing photo of the active work face; (5) mark any open trench or excavation with temporary fencing or barricades per OSHA requirements. Takes 10–15 minutes and prevents problems the next morning.
Why End-of-Day Closeout Matters
The end of the day is when documentation and site security issues compound. A daily report not filed by tomorrow afternoon will be filed from memory — that is not contemporaneous evidence. A grade check failure noticed today but not flagged will be backfilled over tonight. An instrument left on a tripod on site gets knocked over, rained on, or stolen. A systematic end-of-day routine prevents all of these.
The End-of-Day Checklist
Documentation
- Daily report submitted from the field app before leaving site (crew names, hours, equipment, work completed, quantities, visitors, issues)
- Grade check log reviewed: any failing shots flagged for re-check or corrective action tomorrow
- Compaction test log reviewed: coverage matches required frequency for today’s work
- Benchmark re-verification shot logged (confirms HI was correct all day)
- Material delivery tickets logged with OCR scan or manual entry
- Any verbal instructions from the inspector or owner documented in the daily report
Equipment
- All instruments off tripods and in cases
- Cases secured in truck or job box — not left in open bed
- Tripods collapsed and secured
- Grade rod cleaned of mud and stored
- Battery levels checked — instruments on charge overnight if needed
Site Security
- Open trench or excavation fenced or barricaded per OSHA (C.F.R. 1926.502) and local ordinance
- Traffic control devices verified in place for overnight (signs, cones, arrow boards)
- Loose materials (lath, stakes, keel) collected and stored, not left as trip hazards
- Closing photo of active work face (documents progress and conditions at day end)
Planning for Tomorrow
- What is the next phase? Is the inspector required? Send notification if needed.
- Are materials needed tomorrow? Confirm delivery.
- Are there any open punch list items from today that need first-thing attention?
